Who we are
Promaester Ltd is a building company registered in England and Wales, company no. 12174418, registered address 126 Colmore Row, Birmingham B3 3AP. We decide how the personal information described here is used, which makes us the controller under UK data protection law.

What we collect and why
- Survey requests: your name, phone number, postcode and house type, so we can call you, arrange a site visit and quote. We use it because you asked us to, as a step before a possible contract.
- Maintenance enquiries: your name, company, phone number, email, what you manage and its size, so we can reply and set you up as a contractor.
- Emails, calls and messages you send us, so we can answer them and keep a record of what was agreed.
- If you become a customer: your address, contact details, the quote, the schedule, payments and the paperwork for the job, because we need them to do the work and to meet our legal and tax obligations.
- If we prepare a property value check for your quote, your address and public sold-price data for nearby homes, so we can show you what the work could add to your house.
- Photographs of the work at your home, taken for our records. We only publish photographs of your home on this website or on social media with your consent, and we never show house numbers, number plates or anyone's face.
- Your IP address, for a few minutes, to stop the same address flooding our forms with spam. It is held in memory, not stored.
The chat assistant
The chat assistant on this website is an AI assistant, not a person. We receive the messages you type and the replies it gives, and use them to answer your questions, to follow up if you ask us to, and to improve its answers. We keep chat messages for 30 days, then delete them.
The replies are written by an AI model from Anthropic, which processes your messages for us. The chat runs on Cloudflare, which also checks that you're a person and not a bot (Cloudflare Turnstile). Please don't type anything into the chat you wouldn't put in an email.
How long we keep it
- Enquiries that don't go ahead: up to 24 months, in case you come back to us, then deleted.
- Customer and job records: six years after the job ends, because company and tax records must be kept that long.
- Chat messages: 30 days.
Who processes it for us
We don't sell your information or share it for marketing. These companies handle it on our behalf, under contracts that only let them use it to provide their service to us:
- Vercel, which hosts this website.
- Resend, which sends the forms on this website to our inbox.
- Microsoft 365, our email and office software.
- Cloudflare, which hosts the system we track enquiries and quotes in.
- Anthropic, which writes the chat assistant's replies.
- Cloudflare, which also runs the chat assistant and its bot check.
Google Maps
The coverage map on our home page is a Google Maps embed. It only loads when you scroll near it, and when it does, Google receives your IP address and may set its own cookies, under Google's privacy policy. We don't set any tracking or advertising cookies of our own.
Information leaving the UK
Some of these companies are based in, or store information in, the United States. Where that happens, the transfer is covered by safeguards recognised under UK law, such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Email hello@promaester.com and we will reply within one month. We may need to keep some records, such as invoices, for as long as the law requires, and we'll tell you if so.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.
